Job Description

Alstom is looking for a Site/Project Administrator to provide administrative and organisational business support to the Project Director and Senior management group, ensuring the efficient operations of the Perth Metronet Project site.

Description

Reporting to the Director, you will be working on-site and responsible for:

  • Management of the offices, facilities, and site amenities like entries and exits to site for visitors, suppliers, contractors, deliveries etc. and support EHS and Facility Management teams.
  • Managing contractors and be the key point of contact for cleaners, security, and Facility Management team and ensure office facilities and amenities are clean and stocked with supplies, ordering, and issuing of PPE including maintenance of PPE stocks and spares for use by visitors.
  • Coordinating and facilitating arrival, orientation, desk allocation, IT, PPE, building access, ID card etc for new starters, short mission assignment and business travel arrivals to the Project.
  • Creating PR/PO and invoice approval/processing for all indirect purchasing requirements for the Project and coordinate, communicate and execute site based and national initiatives, activities, functions, and events.
  • Providing administration support e.g. minutes of meetings, presentations, correspondence, follow-up/action plans, maintaining org chart and staffing spreadsheets, monthly project reporting etc.
  • Coordinating archiving for Perth Metronet project in liaison with external provider and facilitate coordination and execution of VIP, Customer and Ministerial visits, functions, and events.
  • Developing and fostering good working relationships with internal and external stakeholders, including Customers and Government.

Profile

  • You will have a flexible approach to work and be willing to use your skills to assist other groups and functions within the business.
  • 3+ years' experience within a similar role with a commitment to effective delivery of quality customer service.
  • Advanced MS Office skills (Excel, PowerPoint, Word).
  • Excellent communication skills and able to articulate professionally with confidence to liaise at all levels of the organisation.
  • Advanced administrative skills including sound analytical skills and accurate record keeping.
  • Financial administration knowledge (e.g. Purchase Orders, Invoicing etc.)
  • A keen eye for detail, the capacity to set priorities, and workload management.
  • Follow a proactive method to address any site related issues.
